Salon CRM and client management

Salon CRM

In short

A salon CRM is the client record: their history, their formulas and notes, their photos, what they have spent, when they last came in and when they are due back, with their marketing consent recorded against it. Its value is not storage — it is that the salon can act on it, by finding the clients who are overdue on their own rhythm rather than sending everybody the same message.

What to look for

A client list is not a CRM

Every product has names and phone numbers. The difference is whether the record knows the things that make a returning client return: the formula used last time, how long they normally leave between visits, what they have never tried, and what they said when they cancelled.

Overdue is personal, not a fixed number of weeks

A client who comes every four weeks is overdue at six. A client who comes twice a year is not. Segmenting on "last visit more than 90 days ago" sends the wrong message to both. Look for segments computed from each client’s own interval, because that is the list worth messaging.

Consent has to live on the record

Marketing consent is per client, per channel, and it has to be provable later. Check that it is captured at booking, stored against the client and honoured by the sending, rather than kept in a separate list somebody has to remember to check.

Photos and notes are the retention feature nobody markets

The stylist who can see what they mixed for this client in March is the reason the client does not experiment with the salon down the road. It is unglamorous, and it is worth more than most of the features on the front of the box.

In BeautifyOS

What we built

Clients
One record per client holding their history, their formulas and notes, their photos, what they have spent, when they last came and when they are due, with consent recorded against it.
Marketing
Campaigns sent to segments built from the salon’s own booking history: clients overdue on their own rhythm, lapsed clients, clients who have never rebooked, reached over WhatsApp, SMS, email or the app.
Chat
One inbox for WhatsApp, SMS, email and app messages, attached to the client record, so a conversation is not spread across three phones.
Reviews
Review requests sent a set time after a visit, and Google reviews synced back in so replies can be written from the same place.
Automations
Rules that run without anybody opening the app: filling a cancelled slot from the waitlist, following up a no-show, asking for a review after a visit, sending appointment reminders.

Questions

Answered

What does a salon CRM do?
It holds each client’s history, formulas, notes, photos, spend and visit rhythm, with consent recorded, and turns that into segments the salon can message.
Can I find clients who are overdue for an appointment?
Yes. Overdue is measured against each client’s own visit interval rather than a fixed number of days, so it fits a four-week client and a twice-a-year one alike.
Does BeautifyOS have a points-based loyalty scheme?
No. Memberships and packages exist; a points scheme does not.
