How to reduce salon no-shows

Reducing salon no-shows

In short

Salon no-shows come down through four things, in this order: a reminder on a channel the client reads, an easy way to reschedule instead of simply not arriving, a deposit on the appointments that are expensive to lose, and a waitlist that fills the gap when one happens anyway. The first two cost nothing and do most of the work; the second two protect the rest.

What to look for

1. Remind on the channel they actually read

A reminder the day before is the highest-return item on this list. What matters is the channel: a WhatsApp message gets read, an email frequently does not, and a phone call during working hours reaches nobody. Send on whatever the client used to book.

2. Make rescheduling easier than not turning up

Most no-shows are not defiance. They are a client whose day changed at four o’clock, faced with a phone call they do not want to make. A reschedule link in the reminder converts a large share of would-be no-shows into a moved appointment, which costs the salon almost nothing.

3. Take deposits where the loss is real

Deposits work, and they also cost bookings, so apply them where the loss justifies it: long appointments, colour, new clients, peak Saturday slots. A blanket deposit on a fifteen-minute trim will lose more than it saves.

4. Have somewhere for the gap to go

A cancellation with two days’ notice is only a loss if nobody fills it. A waitlist that holds who wanted that service and when they can come turns the cancellation into a booking without anybody making a call.

Then measure it

No-show rate is a number, and it responds to these changes within weeks. Watch it per stylist and per day of the week — it is rarely spread evenly, and where it concentrates usually tells you which of the four to do next.

What we built

Automations
Rules that run without anybody opening the app: filling a cancelled slot from the waitlist, following up a no-show, asking for a review after a visit, sending appointment reminders.
Deposits and cancellation rules
Per-service deposit rules taken at the time of booking, with cancellation windows, so the expensive appointments are the protected ones.
Waitlist
Clients who wanted a time that was already taken, held with the service and the windows that suit them, so a cancellation has somewhere to go.
Cancellation fill
When an appointment is cancelled the gap is scored against peak hours and the appointments around it, matched to waitlist entries, and offered out automatically.
Reporting
What the salon earned, per service, per stylist and per day, with commission and tax split out, and the books closed at month end.

On the way

Automatic no-show follow-upBuilding
A no-show followed up on its own, with the rebooking offer and whatever fee the salon’s rules call for.

Questions

Answered

How do I reduce no-shows at my salon?
Send a reminder on the channel the client actually reads, let them reschedule from it, take deposits on the appointments that are expensive to lose, and hold a waitlist so a cancellation gets filled.
Should I charge a no-show fee?
A deposit taken at booking is generally more effective and less confrontational than a fee chased afterwards, and it can be applied only to the appointments where the loss justifies it.
Can cancelled appointments be filled automatically?
Yes. The gap is scored against the appointments around it, matched to waitlist entries and offered out without anybody making a call.
