Client records that fill themselves

History, notes, spend and tags — and how to find anyone in a couple of keystrokes.

Finding and reading a client

  1. Search by any part of their details

Name, email or phone. The list narrows as you type, so a partial name is usually enough.

  2. Use the filters for a group

VIP, Regular, New, Inactive and Birthdays sit along the top. Inactive is the useful one — those are the clients who have stopped coming.

  3. Read the card

Every visit, what they had, who did it, what they spent and when they were last in. It is written as you work, not typed up afterwards.

Keeping records useful

  1. Add a note that matters

Formula, allergy, how they take their coffee. Notes are for the salon’s eyes and travel with the client to whoever is doing them next.

Worth knowing. Health information is personal data. Record what you genuinely need for the treatment, and nothing more.

  2. Tag your best clients

Marking someone VIP puts them in a group you can pick out later for an offer or an early booking window.

  3. Merge a duplicate

The same person booked twice under two emails happens. Merging keeps one card with the full history rather than two half ones.

  4. Export the list

Export gives you a CSV of your clients. It is your list — take a copy whenever you like.
